Using the SubTime App for match sheet registration

SubTime app workflow integration with SciSports

The SubTime App is used to create and manage official match sheets, including lineups and substitutions. It supports accurate playing time tracking and structured match data delivery to SciSports. SubTime must first be implemented in coordination with SciSports before it can be used for official matches.

Below are shortcuts to all steps for easier navigation:

Activating SubTime for a club

SubTime is intended for those responsible for registering match sheets. Before the application can be used, the club must contact SciSports to confirm implementation and agree on the scope.

After confirmation, the following process applies:

  1. The official roster is delivered to SciSports.

  2. The SubTime: Game Management app is downloaded on the device.

  3. The team is activated in the SubTime app using the invite code provided by SciSports.

  4. SciSports uploads the approved roster into the SubTime environment.

Only after these steps are completed should the app be used for official matches.

Step 1: Submitting the team roster

A complete roster must be delivered before activation. Download and complete the official template: Roster template – SubTime implementation

Mandatory fields

  • Jersey number

  • First name

  • Last name

  • Position

  • Team

  • League

  • Gender

The more complete the roster, the more accurate the player data in SciSports.

Step 2: Installing the SubTime app

Download SubTime: Game Management on a mobile device.

Install the app before the first match.

Step 3: Activating the team

Based on the roster SciSports will create the team(s) with all players. SciSports will share an invitation code for each team. After receiving the invite code from SciSports:

  1. Open the SubTime app.

  2. Select “Got an invitation code?”

  3. Enter the invite code.

  4. Select “OK”

The team will now appear in the app.

Step 4: Creating the match sheet

Before kick-off

  1. Create a new game.

  2. Select the attending players.

  3. Set the starting lineup (drag players to the right position).

  4. Start the match in the app by clicking on the play button in the right top corner.

  5. “Starting Game” click on Yes

During the match

  • Register substitutions immediately when they occur. Do this by dragging and dropping the players.

  • End first half: Click on the ▶| button. “End 1H” click on Yes.

  • Start second half: Click on the play ▶ button.

  • End second half: Click on the stop ■ button. “End Game?” click on Yes

  • Keep the formation accurate at all times.

Please note: Recording events such as goals or yellow cards is optional. Tracking substitutions and formation is mandatory.

Step 5: Exporting the match sheet

After the final ending the match:

  1. Export the .csv file.

  2. Select all export options, including “Include notes”.

  3. Email the .csv file to [email protected].

Required match notes

Include:

  • Jersey colors of both teams

Incomplete files may delay processing.

Key guidelines

  • Implementation must be coordinated with SciSports.

  • No roster edits inside the app.

  • Jersey numbers remain fixed during the season.

  • Substitutions and formation must always be accurate.

  • CSV export and email submission are required after every match.
